Use the tagging function to mark applications of interest and create your own structured talent pool of the most promising candidates.

What is a talent pool?

A talent pool is a central database in which competence profiles of promising applicants and employees are managed. This can be used for various purposes, depending on the wishes and specifications of your company.

In onlyfy Application Manager you have two options to build a talent pool:

• via a job or
• with the help of tags.

In the following chapters, we will look at both options.

A job as talent pool

Create your own job for your talent pool under ´Jobs´ (1) > ´Add´ (2) and manage your talents in this special job (3). The advantage of this method is that you can define your own recruiting process. The segmentation can thus also be done via the status in the recruiting process.

Using tags to create a talent pool

The second option is to tag your talents with tags and create a "fictitious" talent pool. The advantage of this is that you do not have to create a separate job for this and you can later display the candidates that you have marked as talents clearly in a list via the ´Candidates´ tab.

To create tags, go to ´Settings´ (1) > ´Applications´ (2) > ´Candidate Tags´ (3) and add a new tag (4). Assign a name to the tag (5), e. g. "Talent pool" and select an appropriate color (6). You can also choose an individual color that matches your company: enter the HEX color code, e. g. #FFFF00 for yellow (7).

Assign the talent pool tag to the applicants by clicking on ´Edit Tags´ (1) in the candidate profile. Then click on the ´Select a tag´ row (2) and select the tag you want.

Do you want to remove the tag? Then click on the ´x´ next to the tag (3). Otherwise, save the changes (4).

Extended data retention

You can also use the option to store your talents' data for longer and automatically offer them a longer data storage period. You can easily set this up in ´Settings´ (1) > ´Privacy & data processing´ (2).

Among others, you can choose from the following options:

Application related data retention	Automatically offer to extend data retention 2 weeks before removal	Activate this field so that your applicants are automatically notified about this possibility. Candidates who have already agreed to longer data storage will not receive this email.
Extended data retention	Enable extended data retention checkbox in the application form	Candidates may agree to longer data storage for further job offers from you during the application process.
	Automatically offer to extend data retention 2 weeks before the current agreement expires	Once you check this box, your candidates will be automatically notified about the expiration of the longer data storage period.
